Seeking association management professional to work in a fast-growing association management company, serving as Associate Director for a major food industry professional society under the direction of the Executive Vice President. Strong sales, project management, communication, consensus building and organizational skills required, along with an attention to details. Demonstrated leadership, strategic vision and supervisory skills also are requirements for this position. Knowledge of food industry, very helpful.
Job Responsibilities:
Assist Executive Vice President in supervising a staff of 5 professionals and coordinating all activities and programs for a food industry society of 2500 members, including research chefs and food technologists. Working with staff and volunteers, responsibilities include:
- committee liaison and coordination
- developing and managing budgets
- leading sponsorship sales efforts and interface
- program development and execution
- staff communication and coaching
- strategic partner development
- conference planning and management
- interface with the Executive Committee, Board of Directors and various other committees
- attend meetings and prepare Minutes
Qualifications:
- Excellent written and oral communication, including advanced profiency with MS Office, Word, Excel & Outlook.
- A college degree with an emphasis in communication, public relations, marketing or food science with 5-plus years of association management experience, at least two years in a supervisory capacity.
- Proven leadership/management skills with an independent style, high degree of initiative and strategic vision.
- Strong project management skills, ability to delegate, with follow up and accountability.

IT Analyst /Application Specialist

We are seeking an experienced self-starter with a drive to take ownership of and enhance the use of our various enterprise software systems including TIMSS association management software, Tenrox time and billing software, and Great Plains accounting software.
Responsibilities:
This position is responsible for assisting staff to achieve maximum efficiencies from current IT applications and providing support to TIMSS end users
Duties to include but not limited to:
- Post implementation support and training on the TIMSS application for association staff.
- Assist association staff with data analysis by identifying standard reports or through the development of ad-hoc queries and custom reports.
- Act as the liaison between the TIMSS Core Team’s and post implementation association staff.
- Assist association staff with further defining, streamlining, and documenting process improvements as they relate to TIMSS.
- Work with associations to enhance their use of TIMSS through the implementation of additional modules and capabilities.
- Coordinate all post implementation application upgrades for TIMSS.
- Maintain TIMSS related user accounts and security settings.
- Maintain and troubleshoot interfaces between TIMSS and other external applications.
- Enhance the use of other enterprise resource tools such as Tenrox and Great Plains by Kellen staff.
Qualifications:
- Strong analytical skills with a focus on business process mapping and the ability to apply system solutions to business problems.
- Ability to quickly learn and enhance current applications as well as identify, lead evaluation of, and implement new and improved methodologies to enhance the efficiency of the company.
- Technical knowledge of Microsoft Access and SQL Server and Crystal Reports.
- Must have proven written and oral communication skills; strong customer service skills, and leadership skills.
- Proven project life-cycle documentation skills; e.g., functional user requirements, technical requirements, testing documentation, etc.
- Must be able to plan, conduct and direct major projects, including project definition, cost assessment, and ROI analysis.
- Must be able to direct teams of cross-functional professionals involved in the analysis, design, development and implementation of large scale software applications with the integration of multiple systems and data sources.
- Ability to work with people at all levels within the organization.
- Bachelor's degree in Computer Science, or a related discipline is required along with three years or more of work experience.
- Must be comfortable working in an ever changing IT environment, have excellent project management skills, and easily connect with Department staff.
- Familiarity of association management and non-profits is beneficial.
- Experience TIMSS, Tenrox, and Great Plains software applications would be a plus.
- Successful track record with IT applications in the financial area of large, complex, organizations &/or consulting firms beneficial.

To provide administrative support services, such as preparing correspondence, filing, transcriptions, faxing, data entry, and preparing assorted information for distribution for supervisors. Responsible for knowledge of all services provided and coordination of all administrative duties with initiative and solution-oriented leadership.
Administrative support for the International Flight Services Association (IFSA) includes composing, processing and reconciling correspondence, letters, member services/recruitment, memos/reports and coordinating special projects as specifically defined and for the International Formula Council (IFC) includes correspondence, small meeting planning, processing of financials, and other special projects as specifically defined. Applies computer skills, knowledge of administrative support systems and understanding of policies and procedures to complete tasks and special projects and develop new systems as needed. Responsibilities include, but are not limited to, the following:
Responsibilities:
- Knowledgeable and proficient on database and other association package software; primary interface in preparing mailings, e-blasts and maintaining several databases.
- Effectively and accurately coordinate activities, maintain and update action item lists including proof reading. Manage any action items under administrative purview.
- Provide administrative support to Executive Administrator, Associate Director, Project Administrator and Communications Manager (travel coordination, update calendars, hotel arrangements).
- Prepare check requests for expense reimbursements & process invoices for submission to Accounting.
- Maintain Individual, and Master Book files. Track inventory and distribute other IFSA materials (e.g., brochures, manuals).
- Provide administrative support with respect to all conferences and trade show (quality control of registration, data entry, attendee books, badges, on-site needs, etc.)
- Lead activities as related to Board and committee meetings (e.g., Board books, materials, logistics, requests for reports and budgets).
- Coordinate Web site content and work with Interactive Services Department on keeping the site updated.
- Respond to general Association calls and e-mail.
- Provide general assistance with IFSA Foundation activities (e.g., respond to inquiries, assist Foundation Chair and lease with donors, handle Annual Conference Foundation needs).
- Some domestic travel required.
Qualifications:
- A proven track record of success is required.
- High energy, versatile and multi-task oriented, self-directed, and ability to handle accurately diverse details at one time. Project management skills essential.
- Computer literate with the “Can Do” approach to different and diverse software packages including Access, Word, PowerPoint, Excel and Outlook.

There are heavy phones, client, communications industry and media activity, managing and juggling multiple priorities and tasks in a fast-paced environment. Perform clerical tasks, process mail/bills, maintain files, manage databases, produce administrative reports, field routine and non-routine inquiries. This position will have daily interaction with and exposure to high-level executives and professionals, therefore, a demeanor and image that is suitable is required.
